were looking for a property administrator to join us🌱 ready to dive in and stir things up

purpose |

the property administrator will provide efficient and accurate administrative duties, assisting the property senior leadership team across all the property functions of estates, construction, acquisitions and facilities

key accountabilities |

  • to provide proactive, efficient, and effective property administration support to the heads of departments as required
  • inputting information into and keeping up to date databases and trackers that the property team use
  • invoice management including processing invoices using the internal finance system and assisting with day-to-day invoice queries from finance and external parties
  • maintaining accurate records and filing systems
  • coordinating property access/inspections for landlords, external consultants, contractors and project managers
  • management of empty property contract including arranging access requests, approving invoices and reading and actioning weekly property reports
  • overseeing the property PO/CPN system working with finance and external suppliers to ensure it is fully functional and aligned with internal policies
  • responsibility of issuing property change forms
  • general administration support for all projects across the team including new restaurant openings and refurbishments
  • preparation and distribution of agendas and minutes for periodic property meetings
  • coordination of the signing process for legal documents
  • responsibility for responding to all property information requests which will include requests for lease details, drawings and project timelines

key skills + role requirements |

  • Previous experience working within property management
  • ability to work without supervision in a confident manner to support the heads of departments and the wider property team
  • excellent written and oral communication skills
  • excellent time management and organisational skills
  • must be proactive and able to use own initiative and possess a flexible attitude to the workload
  • excellent at excel, powerpoint and Word
